Feature Matching Gifts on Your Homepage and Across Your Website

Your homepage is the first thing people see when they visit your site, and priority number one is letting people know who you are and what you do. Part of what you do is receive donations, and matching gifts for those donations, so including links to information about matching gift programs is a good idea.

The two approaches (which can be combined, of course) are placing matching gift links such that people can find them if they are looking for them (navigation bars) and inserting links so that they jump out at site visitors, such that the link is more or less an advertisement for matching gifts (banner ads).

Let’s take a closer look at each approach through proven strategies.

Navigation Bars

Every useful website has a navigation bar that helps people to discover relevant information. Including a link to matching gift programs in your navigation bar puts matching gifts in a visible location where donors can easily find and access the information. A link in the navigation bar won’t advertise matching gifts to unknowing donors, but if a donor is on your site and looking for how to apply for a matching gift then he will easily be able to navigate to a page to learn how.

This is a clean, modern site, with an easily visible and useable navigation bar. They incorporate matching gifts under the fundraising tab, so it’s part of a larger topic. This link won’t function as an advertisement, but, for someone who is looking for matching gifts or ways which they can contribute to the organization, the website provides an intuitive way to access that information.

Banner Ads

If you want to advertise matching gifts on your homepage then banner ads are a great way to go. A banner ad will catch eyes and make people think about matching gifts. This informs donors about matching gifts when they may be visiting your site for other purposes.

Add a Matching Gift Graphic to your Nonprofit's Website

Highlighted by the green box, this banner ad works because it’s clean, easy to read, and its color stands out from the color scheme of the homepage. People notice when something stands out in a crowd. A 2011 study in the journal Emotion claimed that reaction times become faster and more forceful when people see a bright color, so the choice of color was well selected. Little factors such as color can play vital roles in whether or not people respond to your banner ads, so if you have the time to get intricate with your banners it will be time well spent.

Everything about these banners is clean and easy to read. The iconic puzzle piece logos add a touch of intimate personality that separates the images from plain text graphics. The difference in shapes, square versus rectangle, highlights that your banner can and should be tailored to the size that works best on your website.

Still clean and basic, this banner adds simple details, such as a faded color scheme and the orange ribbon in the top right corner. The image works great on donation confirmation screens, and make sure to link the graphic to your dedicated matching gift page.

The picture of the gift box is enough to signal to the user that this banner has something to do with giving or gifts prior to the user engaging with the white text. And the white text is easy to read and the large, capitalized letters, which will likely be the first words you read, tell you exactly what the box is addressing. As for the psychological effects of the color, green is commonly associated with balance and harmony, such as the balance a matching gift brings to the original donation and the harmony between you and donors. There are serious benefits to thinking out the minor details of banner ads in order to leverage major psychological impacts.

Your nonprofit does not have to advertise for matching gifts on its homepage, but it’s a good idea if you want to raise awareness for matching gifts. Regardless, including information about matching gifts in a logical place, such as a navigation bar, is a must.

You’ve got a long to-do list that never ends, and promoting matching gifts is an easy task to push aside. However, it’s a necessary job.

The specifics vary by company, but donors have a limited window of when they can apply for matching gifts. If you’re not getting the word out about matching gifts then you’ll lose eligible donors and receive fewer requests. The goal of any great matching gift program is to maximize its dollars donated for the public good.jan

Don’t make people wait. Just like you, your donors live busy lives and likely don’t ruminate on the intricacies of charitable donations. A healthy dose of matching gift motivation in the form of necessary information can go a long way. Many donors simply need to know that matching gift programs exist.

Standard Matching Gift Submission Deadlines

Calendar specifics vary by company, but the following three dates are the general standards for matching gift submission deadlines:

  1. End of the calendar year.
  2. A set number of months after the date of the donation. The standard is one year, but anywhere from one to twelve months is normal.
  3. End of January, February, or March in the year subsequent to when the donation was made. Companies with a January or February deadline include Verizon, Home Depot, and Caterpillar.

These dates mean that you can engage in both start and end of year appeals. Let’s start with end of year appeals.

End of Year Appeals

Email templates vary, but it never hurts to embrace the time of year with festive, emotionally engaging graphics. This matching gift appeal utilizes a basic font against a clean background. Nothing fancy, and, to access matching gift programs, there is both a blue link to click as well as a conspicuous green button. Priority number one is getting the information out there, and any aesthetic enhancements will follow according to what you can manage.

A great appeal will conjure urgent emotion out of its reader. The goal is both to remind donors about matching gift programs and to foster a feeling that a matching gift will provide necessary good for both the donor and the nonprofit. End of year appeals are, at their essence, urgent calls for donations to be matched, but appeals don’t need to come across as desperate. People understand the time of year. Donors can decide for themselves whether or not it’s worthwhile to match their gifts.

Start of Year Appeals

If you missed the end of year deadlines, don’t worry. Many companies offer grace periods both for donations made at the end of the year and donations that were forgotten. This means that, even once the calendar turns to the new year, you have time to capitalize on matching gifts from donations made during the previous year.

A lot of people make their donations at the end of the year and fail to match gifts either due to missing out on end of year appeals, overlooking them, or due to the general frenetic pace of the holiday season. Start of the year appeals are the solution to this problem.

While these dates are not set in stone, company deadlines for grace periods tend to fall into one of three categories:

  1. Companies will match gifts if applications are submitted by Jan. 31, Feb. 28, or Mar. 31 of the following year.
  2. Companies will match gifts made at any time during the previous three, six, or twelve months.
  3. Companies will match all gifts made during the current calendar year.

For instance, Monsanto has a policy that donors must register matching gift requests by February 15th of the year following the donation date.

As with end of year appeals, don’t sound desperate. Thank donors for their donations and put the information in front of them. No flashy colors or bright lights required, although well-implemented graphics can help. You want people to understand your appeal and to participate in your call to action. The above email from Adrian College is a good template to follow for any appeal (although, obviously, adjust the seasonal template for the time of year).

Feature Matching Gifts in Your Nonprofit’s Newsletters

How many times have you been scrolling through a website, minding your own business, and then BAM! A popup urges you to sign up for a newsletter. Like, um, no. I’m trying to read here.

Inevitably, you’ve signed up for at least a scattering of newsletters. Most companies and nonprofits release newsletters, and for good reason. Nothing tops a newsletter in terms of conveying a bulk of information through a single email.

To get an idea of what a newsletter should look like, here’s part of a sample email from the New York Chapter of the National Kidney Foundation:

See, nothing intimidating, right? The top half is a short, meaningful story that creates emotional engagement with the nonprofit, and the bottom half is a creative and informative reminder about matching gifts. The great success of this newsletter is that it opens with a story, as opposed to the marketing portion, so that when the reader gets to the part about matching gifts it reads more as a nice opportunity to give to a good cause than an ask that fails to humanize what it seeks to benefit.

In this case, the email took a singular focus on promoting matching gifts to recent donors.

Matching Gift Newsletter Advice:

Newsletters are versatile and can include links to blog posts, donation pages, social media profiles, and more. Newsletters provide both information and the opportunity to add layers to your connections with donors. Added layers include people choosing to follow your social media profiles, engaging with your online content, and donating to your nonprofit.

When the donor clicks on either the matching gift graphic or the words “click here” they’re taken to CMTA’s matching gift page, which is hosted on Double the Donation’s servers.

This email newsletter is entirely dedicated to matching gifts and is a superb example to follow. While newsletters might provide links to a variety of your nonprofit’s services and content, it’s best to provide a singular focus to the actual written content of the newsletter. Donors might be able to understand simultaneous ideas, but it’s hard for them to take action when you’re asking them to do multiple things at once, such as to volunteer at an event or to check out a new blog post on top of the ask for them to seek out a matching gift.

This is the danger of cramming too much into too little space. How much can and will a reader take in at once?

You can go with an all-at-once approach, but you can also focus on different aspects of marketing in successive newsletters. For example, one month you focus on promoting your social media accounts, the next month on increasing the readership of your blog articles, and, in a subsequent message, you promote volunteer grant programs and matching gifts, as opposed to including all of these parts of your nonprofit in one newsletter.

By giving each marketing avenue its own time and space, donors will engage better with the content you provide. When the time comes to promote matching gifts, that program will be the focus of the newsletter and will grab the reader’s attention, as opposed to one of any number of other topics distracting the donor.

Select one, two, or a few newsletters a year to focus exclusively on matching gifts in order to maximize your readers’ attentions and haul in more donations.

Matching Gifts for Gala Tickets and Special Fundraising Events

Does your organization host a fundraising gala or special event? If so have you ever wondered whether the tickets and donations made during that event are eligible for matching gift programs?

We recently received an email from a woman named Sheila wondering whether individuals can apply for matching gifts from their employers for money donated through special fundraising events. Her question was as follows:

One of my organization’s fundraising events involves selling tiles and allowing parents and their children to decorate the tiles. We then affix the tiles to a wall as a way to display the artwork and recognize our donors. Is the purchase price of the tile eligible for corporate matching gift programs?

While this specific question may appear unique, many organizations raise funds in similar ways.

Donations at Annual Fundraising Galas and Special Events:

  • The Greater Los Angeles Zoo Association gives individuals an opportunity to name a Zoo resident. For donations of between $1,000-$50,000, you can name an animal, receive recognition in the zoo publication, receive a photo of you with the animal, and get a VIP tour.
  • The Atlanta Botanical Garden has its Garden of Eden Gala, the Garden’s largest annual fund-raiser. Tickets range in price from a few hundred dollars to $25,000 to be the presenting sponsor. Benefits include tickets to the Ball, a Patron Party, and much more.
  • New York Collaborates for Autism hosts its annual “Night of Too Many Stars”. Celebrities such as Jon Stewart, Katie Perry, Amy Poehler, Tina Fey, Seth Rogan, and many others auction off once-in-a-lifetime opportunities to hang out with a celebrity. For instance, becoming “best friends with Amy Poehler & Tina Fey” for an evening was auctioned for thousands of dollars.

Are these Donations Match Eligible?

It may surprise you, but many companies with matching gift programs will match these donations!

Why there’s confusion: If you or your donors look at many matching gift forms you may notice a sentence along the lines of “the Corporation will not match tickets or subscriptions.” So if your organization is a symphony selling a concert ticket or a science museum selling an IMAX ticket, companies won’t match the ticket price.

The reason for this is that donors are receiving a tangible benefit that would be charged by other for-profit organizations. For instance, an IMAX movie could be compared to a regular movie ticket and the symphony could be compared to a sporting ticket.

But why are gala tickets and special event tickets often eligible?

If you look at the fine print on many nonprofits’ special event tickets you’ll notice that it mentions a tax deductible amount for each ticket. For example a ticket to the Atlanta Botanical Garden’s Garden of Eden Gala was $475 but amounts exceeding $200.00 per Ball ticket and $50 per Patron Party were eligible for a charitable income tax deduction.

We wrote an entire article on calculating the tax deductible matching gift value but in general at galas you must subtract the cost of a similar meal and any gifts that guests may receive.

Bottom Line on Getting Gala Tickets Matched: A significant percentage of a gala ticket’s purchase price is tax deductible and is often eligible to be matched by an employee’s company but corporate guidelines do vary by company.

Promoting Matching Gift Programs at Galas:

Unfortunately for organizations it’s less common to receive employee matching gifts for galas and special events than regular donations or annual fund contributions. As with all donations, you have to raise awareness and make it easy for donors to submit matching gift requests, but there’s an extra component when it comes to galas and special events.

Even if an individual knows about his or her company’s matching gift program, they rarely realize a portion of the ticket is tax deductible and often match eligible. Thus you need to promote this fact.

Matching Gifts for Fundraising Events:

One big fundraising opportunity is to take advantage of corporate match programs where companies match the fundraising efforts of its employees. Yes you heard that right — some companies have programs in place where if their employees go out and fundraise for your cause then the company will match the entire amount up to a certain limit.

These companies include:

  1. Intuit
  2. McAfee
  3. British Petroleum
  4. State Street

Five Easy Ways a Nonprofit can Promote Matching Gifts to Special Event Attendees:

  1. Include the tax deductible amount on the ticket with a line such as “Did you know $XXXX of your ticket is tax deductible? If your employer offers a matching gift program it may be eligible to be matched.”
  2. If you subscribe to Double the Donation’s matching gift service, consider setting up a computer with your organization’s matching gift webpage up and easily accessible by donors.
  3. Does your organization manage a payment station at the Gala where donors go and pay for auction items? Make sure your staff ask if the individual or his or her spouse works for a company with a matching gift program.
  4. Do you provide donors with an acknowledgement letter after they buy a ticket or make an additional donation? If so, this is a great time to encourage donors to see if their employer or their spouse’s employer offers a matching gift program.

Leverage Matching Gifts to Strengthen Nonprofit-Corporate Relationships

We recently had a reader ask Double the Donation about how to strengthen relationships with corporations that offer generous matching gift contributions to their organization. She said she wished she had more ways to reach out to these companies post-matching gift donation to show them how a strong relationship could provide some great public relations benefits.

This is a great point! When corporations offer matching gift donations to a nonprofit organization, they may not realize how positive of an impact the contributions are having on the work of the nonprofit. It’s important for nonprofits to leverage matching gifts into positive PR for both you and the corporation to ensure future collaboration, and therefore, a stronger nonprofit-corporate relationship.

Suggestions of “Extra Thanks” for Generous Matching Gift Donations

Does your organization have one corporation in particular (or even a few!) that really stands out in the field of matching gift donations? It’s important that this company knows how big of an impact they are having on the work you do, and sometimes a simple, albeit wonderful, acknowledgement letter (that acts as a tax-deductible receipt, too) is not going to emphasize your thanks enough. So, what else can you do?

Press Releases

A simple and highly visible form of extra thanks is a press release to local publications. This could include information about the circumstances of the donation, how big of a matching gift partner they are (if, for example, you have many donors who work for one company that offers matching gifts on a recurring basis), and the kind of programs and nonprofit work the donations help progress.

And don’t forget to highlight the company on your own website. It’s not only positive publicity for the company but also encourages your other donors to see if their employers will match their donations.

The important thing here is that the company or companies providing matching gifts to your nonprofit organization are getting a public, positive recognition for the donations they make. They are more likely to donate in other capacities in the future, as well, when they see the kind of public acknowledgement they can get by donating to your organization.

Social Media

This one is seemingly a no-brainer, but it’s always amazing what kind of far-reaching impacts a Facebook or Twitter post can have on relationships. By thanking a corporation for their generosity with matching gifts and including the positive impact they are having on the community, your nonprofit is taking an extra (and again, simple) step to show the company and the public how thankful you are for their commitment to the cause.

On your website’s donation pages, you could include information about some of the benefits of matching gifts (for your donors), and also mention some of the top-giving companies in the area. This shows many donors the commitment of their employers to the community, which in turn increases the chances an individual will donate to your cause and also ask their company for a matching gift. Increasing the number of eyes that see a corporation’s name in a positive light also increases the likelihood of forming a stronger relationship with a company. Positive PR for a company (by a nonprofit organization) is a huge key for ensuring future collaboration.

Event Recognition

This is another easy way to recognize some of the major community players in the matching gift arena. Even if these companies are not sponsoring your charitable event, just mentioning the impact they are having on the work you do (without outshining the actual corporate sponsors, of course) is going to make a difference. Every company wants a positive image in the community because this increases their like-ability, and therefore their success. When your nonprofit organization is a key factor in increasing their success, the bond between the two will be stronger than ever.

Creating a Stronger Relationship

The above suggestions are just a few extra ways to say thanks to the corporations who have a strong commitment to matching gift donations. When a company sees the effort your nonprofit organization is putting forth to thank them for their generosity, it increases the chances of future giving, whether it’s with more matching gifts, grants, or even some form of sponsorship.

Directing Donors to Matching Gift Forms | 4 Standard Methods

Does your organization have a strategy in place to maximize fundraising from employee matching gift programs? If not, taking donors and members to company specific matching gift forms is a great place to start.

Directing donors and members directly to matching gift forms is far more effective than suggesting they “reach out to HR”. In fact, it’s one of the most effective ways your organization can increase fundraising from corporate matching gift programs.

At Double the Donation, we utilize four different approaches to directing your organizations donors and members to the forms they need to submit matching gift requests. We know each method isn’t created equal, so we’ve prioritized the information we provide to donors to maximize the likelihood they’ll submit a matching gift request.

Direct Donors to the Electronic Matching Gift Submission Process (1st Preference)

Many of the largest companies offer an electronic matching gift submission process. While a few companies have developed their own proprietary process, the majority of companies contract the matching gift administration process out to a vendor (ex. Easymatch, Cybergrant, etc.)

Fortunately for nonprofits, in the majority of instances the electronic login page is actually publicly available on a website which anyone can access. We direct donors to the login page where they enter their username and password and then proceed through the matching gift submission process.

Rationale: Your donors are already online and looking for company specific matching gift information. They’re most likely to submit a match request electronically, especially since once at the proper location, it only takes a few minutes.

Link to the company’s matching gift website where forms are located  (2nd Preference)

While more and more companies continue to migrate over to an electronic submission process, many still require donors to print out / fill out a paper matching gift form. In many cases the form is posted out on a publicly accessible website so we direct donors to the company page where the matching form can be downloaded.

The two possible approaches were for us to download these forms and host them on Double the Donation’s servers or direct donors to the actual company page where the forms are hosted. After testing both strategies, we ultimately decided on the latter

Rationale: While directing donors to a company page to download the form involves an extra step, we see it as the preferred method for providing donors with the form. It ensures they have access to the most up-to-date form as well as reassures them the matching program is still active form.

Provide Donors with the Matching Gift Form on our Servers – (3rd Preference)

If a company requires employees to submit a paper matching gift form, we do our best to provide the donor with a copy of the form. If it isn’t posted publicly on the company’s website, we request that the company provide us with a copy of the form.

In these cases we host the form on our server (typically as a PDF) so your donors can easily download it.

Rationale: Providing a copy of the form enables a donor to submit the matching gift request without having to dig around for additional information.

Redirect Donors to the Company Intranet or HR / Community Relations Contact

Unfortunately we don’t always have the best access to the matching gift forms your donors need. Typically this is for one of the following two reasons:

  1. There’s an electronic submission process which can only be accessed over the company intranet.
  2. The form is posted on the company intranet, but the company didn’t want to share a copy with Double the Donation.

In these cases we typically redirect donors to the company intranet. If it’s an online submission process, we notify the donor of this and ask them to go to a specific location on the intranet or to search for “matching gifts.” If there’s a paper form, we provide it via a link or host the form on our servers.

Rationale: While this is less than ideal, just telling donors “Hey, company XYZ will match your donation up to $5,000 and your organization is eligible” increases the likelihood they’ll log into the company intranet to retrieve the form.
