You’ve got a long to-do list that never ends, and promoting matching gifts is an easy task to push aside. However, it’s a necessary job.

The specifics vary by company, but donors have a limited window of when they can apply for matching gifts. If you’re not getting the word out about matching gifts then you’ll lose eligible donors and receive fewer requests. The goal of any great matching gift program is to maximize its dollars donated for the public good.jan

Don’t make people wait. Just like you, your donors live busy lives and likely don’t ruminate on the intricacies of charitable donations. A healthy dose of matching gift motivation in the form of necessary information can go a long way. Many donors simply need to know that matching gift programs exist.

Standard Matching Gift Submission Deadlines

Calendar specifics vary by company, but the following three dates are the general standards for matching gift submission deadlines:

  1. End of the calendar year.
  2. A set number of months after the date of the donation. The standard is one year, but anywhere from one to twelve months is normal.
  3. End of January, February, or March in the year subsequent to when the donation was made. Companies with a January or February deadline include Verizon, Home Depot, and Caterpillar.

These dates mean that you can engage in both start and end of year appeals. Let’s start with end of year appeals.

End of Year Appeals

Holiday Appeal Promoting Matching Gifts

Email templates vary, but it never hurts to embrace the time of year with festive, emotionally engaging graphics. This matching gift appeal utilizes a basic font against a clean background. Nothing fancy, and, to access matching gift programs, there is both a blue link to click as well as a conspicuous green button. Priority number one is getting the information out there, and any aesthetic enhancements will follow according to what you can manage.

A great appeal will conjure urgent emotion out of its reader. The goal is both to remind donors about matching gift programs and to foster a feeling that a matching gift will provide necessary good for both the donor and the nonprofit. End of year appeals are, at their essence, urgent calls for donations to be matched, but appeals don’t need to come across as desperate. People understand the time of year. Donors can decide for themselves whether or not it’s worthwhile to match their gifts.

Start of Year Appeals

If you missed the end of year deadlines, don’t worry. Many companies offer grace periods both for donations made at the end of the year and donations that were forgotten. This means that, even once the calendar turns to the new year, you have time to capitalize on matching gifts from donations made during the previous year.

A lot of people make their donations at the end of the year and fail to match gifts either due to missing out on end of year appeals, overlooking them, or due to the general frenetic pace of the holiday season. Start of the year appeals are the solution to this problem.

While these dates are not set in stone, company deadlines for grace periods tend to fall into one of three categories:

  1. Companies will match gifts if applications are submitted by Jan. 31, Feb. 28, or Mar. 31 of the following year.
  2. Companies will match gifts made at any time during the previous three, six, or twelve months.
  3. Companies will match all gifts made during the current calendar year.

For instance, Monsanto has a policy that donors must register matching gift requests by February 15th of the year following the donation date.

As with end of year appeals, don’t sound desperate. Thank donors for their donations and put the information in front of them. No flashy colors or bright lights required, although well-implemented graphics can help. You want people to understand your appeal and to participate in your call to action. The above email from Adrian College is a good template to follow for any appeal (although, obviously, adjust the seasonal template for the time of year).

Feature Matching Gifts in Your Nonprofit’s Newsletters

How many times have you been scrolling through a website, minding your own business, and then BAM! A popup urges you to sign up for a newsletter. Like, um, no. I’m trying to read here.

Inevitably, you’ve signed up for at least a scattering of newsletters. Most companies and nonprofits release newsletters, and for good reason. Nothing tops a newsletter in terms of conveying a bulk of information through a single email.

To get an idea of what a newsletter should look like, here’s part of a sample email from the New York Chapter of the National Kidney Foundation:

See, nothing intimidating, right? The top half is a short, meaningful story that creates emotional engagement with the nonprofit, and the bottom half is a creative and informative reminder about matching gifts. The great success of this newsletter is that it opens with a story, as opposed to the marketing portion, so that when the reader gets to the part about matching gifts it reads more as a nice opportunity to give to a good cause than an ask that fails to humanize what it seeks to benefit.

Matching Gift Newsletter Advice:

Newsletters are versatile and can include links to blog posts, donation pages, social media profiles, and more. Newsletters provide both information and the opportunity to add layers to your connections with donors. Added layers include people choosing to follow your social media profiles, engaging with your online content, and donating to your nonprofit.

When the donor clicks on either the matching gift graphic or the words “click here” they’re taken to CMTA’s matching gift page, which is hosted on Double the Donation’s servers.

This email newsletter is entirely dedicated to matching gifts and is a superb example to follow. While newsletters might provide links to a variety of your nonprofit’s services and content, it’s best to provide a singular focus to the actual written content of the newsletter. Donors might be able to understand simultaneous ideas, but it’s hard for them to take action when you’re asking them to do multiple things at once, such as to volunteer at an event or to check out a new blog post on top of the ask for them to seek out a matching gift.

This is the danger of cramming too much into too little space. How much can and will a reader take in at once?

You can go with an all-at-once approach, but you can also focus on different aspects of marketing in successive newsletters. For example, one month you focus on promoting your social media accounts, the next month on increasing the readership of your blog articles, and, in a subsequent message, you promote volunteer grant programs and matching gifts, as opposed to including all of these parts of your nonprofit in one newsletter.

By giving each marketing avenue its own time and space, donors will engage better with the content you provide. When the time comes to promote matching gifts, that program will be the focus of the newsletter and will grab the reader’s attention, as opposed to one of any number of other topics distracting the donor.

Select one, two, or a few newsletters a year to focus exclusively on matching gifts in order to maximize your readers’ attentions and haul in more donations.

  5. Donor accesses his or her employer’s matching gift information using Double the Donation’s service

Step #1: Modify the donation confirmation page on your website to include Double the Donation’s plugin (or build a new donation confirmation page with Double the Donation’s plugin).

We recommend you think of the donation confirmation page as two different sections:

Section #1 (Say thanks):

  • Thank the donor
  • Let them know their receipt is being sent via email
  • Provide a short overview of how donations help support the great work your organization is doing

  • Provide a quick overview of matching gifts
  • Add Double the Donation’s matching gift plugin directly to this page (recommended). Alternatively you can add a graphic taking donors to your dedicated matching gift page

 

Step #2: Log in to your Paypal account and proceed to the section of your account where you can add a Paypal button.

Add Double the Donation’s matching gift information to your iModules® donation pages can be done in using the following steps:

  1. Log into your iModules® account
  2. Click on “Campaigns” –> “Manage Campaigns”
  3. You should see a list of active campaigns. Click on the desired campaign you’d like to add Double the Donation’s matching gift plugin to.
  4. Scroll over “Manage Category” in the upper right corner of the form and click “Add Rich Text”.
  5. Option #1 – Add a link to your dedicated matching gift page or open a new window with just our matching gift plugin. (Say something like “Click here to see if your company will match this gift” and open up the new window).
  6. Option #2 – Add our matching gift search box directly on the donation page. You can do so by clicking on “<>HTML”  to switch to the HTML editor. Now you can add Double the Donation’s iFrame plugin code which can be accessed through your Double the Donation account.

 

Method #2: On the Donation Confirmation Page

  1. Log into your iModules® account
  2. Click on “Campaigns” –> “Manage Campaigns”
  3. You should see a list of active campaigns. Click on the desired campaign you’d like to add Double the Donation’s matching gift plugin to.
  4. Scroll over “Manage Form” in the upper right corner of the form and click “Review / Header Page”.
  5. Toggle to the “Finish Page” which is show after the donation process is complete.
  6. Option #1 – Add a link to your dedicated matching gift page or open a new window with just our matching gift plugin. (Say something like “Click here to see if your company will match this gift” and open up the new window).
  7. Option #2 – Add our matching gift search box directly on the donation page. You can do so by clicking on “<>HTML”  to switch to the HTML editor. Now you can add Double the Donation’s iFrame plugin code which can be accessed through your Double the Donation account.
  8. Option #3 – Download and use one of Double the Donation’s pre-designed matching gift images and link it to your organization’s dedicated matching gift page.

  1. Log into your iModules® account
  2. Click on “Campaigns” –> “Manage Campaigns”
  3. You should see a list of active campaigns. Click on the desired campaign you’d like to add Double the Donation’s matching gift plugin to.
  4. Scroll over “Manage Form” in the upper right corner of the form and click “Member Confirmation Email”.
  5. Modify the thank you email that gets sent out to individuals after they make a donation to further emphasize employee matching gift programs and take them to your dedicated matching gift page (either the one you set up on Double the Donation’s servers or the matching gift page on your own servers)

Steps to Integrate Double the Donation’s Matching Gift Lookup Tool with DonorPerfect:

In terms of integrating Double the Donation’s matching gift search tools into your nonprofit’s fundraising strategy there are three primary options.

  1. In the Donation Process – (Use DonorPerfect’s system)
  2. Across Your Other Fundraising Channels – (Use your other systems)
  3. In Donation Confirmation Emails – (Use DonorPerfect’s system)

Let’s start by looking at how to incorporate Double the Donation’s plugin into DonorPerfect’s donation process

Step #1: Log into your organization’s DonorPerfect account. Then select “Weblink” under the “App Links” drop down.

Step #2: Choose the donation form you’d like to add Double the Donation’s matching gift plugin to and click on the edit pencil.

Step #3: If you use the Single Page donation form, we recommend including matching gifts on the “Receipt Page”. You can find the dropdown by clicking “Edit Header / Footer” and then choosing the “Receipt Page”.

If you’re not using the Single Page form, we recommend that you:

  1. Switch your donation form to a Single Page form and add the plugin on the Receipt Page
  2. Put a link in the Confirmation Email as outlined in the integration guide
  3. Put the plugin alongside the Click to Donate button on the giving page on your website

Notes:

  • Access your nonprofit’s matching gift iFrame code by logging into your Double the Donation account at https://doublethedonation.com/members/.
  • Copy the iFrame code from your Double the Donation account and paste it into the weblink receipt page.
  • The code will look similar to the following:

    (Don’t forget to that you need to copy the iframe code from your Double the Donation account)
  • Feel free to add an additional sentence or two saying “Thanks for donating” and describing matching gifts before you add our plugin.

 

Step #6: Switch back to the “Normal” view by clicking on the pencil to ensure the iframe is showing up. Then click “Save” to finalize the setup. You can also click the “Preview” button if you’d like.

Here at Double the Donation, we often write about the benefits of corporate giving programs, but we also touch upon marketing these programs to your donors. Informing individuals about the possibility of literally doubling donations via matching gift opportunities is step one to extra financial support, but step two is ensuring that these marketing efforts are working!

We’ll touch upon some common marketing efforts to get your donors ramped up to submit that matching gift request form to their employer, but also how to tell if your strategy is working.

 

Marketing Matching Gift Programs

Getting your donors aware about matching gift opportunities is the biggest obstacle your organization will have to overcome in order to receive more funds through these programs. There are billions (yes, billions!) of unclaimed dollars from corporate giving programs because donors are just simply not aware that they can ask their employers to match donations to eligible nonprofit organizations.

Here are three easy and effective marketing strategies to raise donor awareness about matching gift programs.

Include Matching Gift Information in Acknowledgement Letters

If your nonprofit organization is not already including information about matching gift opportunities in donor acknowledgement letters, then it’s a super easy way to start your marketing campaign. When an individual donates money to your organization, the hard part is done. Now you just need to get them to submit a matching gift request form to their employer – but how do you get them to do that?

Include a blurb about matching gifts in your acknowledgement letter. You’ve already got a committed audience, and since the acknowledgement letter doubles as a tax receipt, you can almost guarantee that the donor will read the letter to skim over key points. Make sure you emphasize that requesting a matching gift from their employer is easy and effective. Direct them to your Double the Donation webpage to allow them to check in just a couple of quick steps if their employer offers a matching gift program, and the steps they need to follow to do so.

It can be as simple as this: “Did you know that many corporations offer employee giving programs where they match donations to [your organization’s name]? The tax deductible component of your membership is normally eligible to be matched as well. Check with your employer today to see if they provide matching gifts!”

Make sure to mention that many companies now offer the opportunity to submit these forms online, so that makes the request that much easier. Your odds that a donor requests a matching gift from their employer are so much better if they’ve made a gift recently, so make sure your acknowledgement letters are timely!

 

Strategically Place Matching Gift Information on Donation Web Pages 

As with the above method, you want to make sure to include matching gift information in places that your donors (actual and potential) can see and process quickly. If an individual is on your organization’s donation page, then chances are that they didn’t end up there by accident. This is a great place to let them know that once they commit to the donation, then asking for a match from their employer will only take a few extra minutes. Donors are more likely to pull the trigger when they know it won’t be a long and arduous process, especially once they’ve already made a gift.

Put blurbs about matching gift opportunities on your donation pages, including on the “Donate Now” pages, and especially on the “Thank you for donating!” pages. It would be great as a “Next Steps” option.

 

Engage Your Donors on Social Media

Does your organization have a Facebook page? Twitter? YouTube? All of these are great places to let your donors know how grateful you are for their commitment to your organization’s mission, and a great place to let them know that they can literally double their donation by simply requesting a matching gift from employers. First and foremost, say thank you! This is a crucial part to ensure that they keep reading and engaging with your organization.

Post stories about how the money raised for your organization is helping grow your mission. Include asides about how matching gifts can doubly impact the cause! Facebook is a great place for short posts about matching gifts; Twitter is great for quick and succinct blurbs with links; and YouTube is a great place to submit a video thanking your donors for their contributions and extra efforts in matching gifts!

With social media, the marketing possibilities are endless.

 

Measuring the Impact of Marketing Efforts

The best advice we have on measuring your marketing impact is to create a chart. Create a graph of some kind (whatever your boss prefers, whether it’s a bar graph, a pie chart, or a nifty line chart in Excel) with the total amount of matching gifts received last year versus this year. Or last month versus this month. Use any time span that can really show you a difference between your pre- and post-marketing efforts. Can you see a discernible difference in the number of matching gifts being sent in?

You can also create a survey (there are many free online software tools) that allow you to send a thank you email to a donor who had submitted a matching gift request. Ask them how they learned about matching gifts, and include all of your marketing efforts, as well as an “Other” box with a free response option. This will help you realize which efforts are worth investing more time in (or at least focusing more on in the future), and which may be fruitless.

Your organization will also be able to identify if a majority of matching gifts are coming from one company in particular, or from a wide array of employers. This is notable because if your matching gifts seem to be coming from one employer, then it’d be a good idea to publicly recognize it as a valuable donor and partner to your organization.

There are a variety of ways to market matching gifts to your donors, and several other ways to measure the impact of these marketing efforts. Too much money goes unclaimed by nonprofit organizations due to a lack of awareness on the part of the donors about corporate giving programs. This shouldn’t be the case! Make sure you’re educating your constituents on a consistent and appropriate basis, and you could be well on your way to a high increase in the number of matching gift requests submit.

Step #1: Log into your organization’s JotForm account

Step #2: Choose the appropriate JotForm where you want to add Double the Donation’s plugin and click “Edit Form”

Step #3: Add an expandable section of the form by dragging a “Form Collapse” element (found under “Survey Tools” on the left side) to the desired location on your form. Rename the field (ex. “Click here for matching gift information”).

Step #4: Add an iframe by searching for “iframe” under the widgets section. Drag the “Iframe Embed” element under the matching gift collapsible element.

Step #5: Add a matching gift question, select the IFrame option, insert your Double the Donation IFrame URL, and click “Save & Exit”. Also make sure to change the height and width.

Step #6: Make a few additional formatting changes by clicking on the gear in the upper right corner of the element then clicking ”Show Properties”.

Question: One common question Double the Donation’s team receives when helping nonprofits integrate our plugin is “Additional fields after the matching gift plugin are being included in the collapsible area. How do I prevent that?”

Answer: Add an additional “Form Collapse” element after the matching gift plugin and before other fields. Then click on the new “Form Collapse” element and change its “Visibility” to “Hidden”.
